The role:

 

The Junior Facilities and Fleet Coordinator at Alten supports the management of both the office environment and company fleet, ensuring a safe, clean, and efficient workspace and smooth operation of company vehicles. This hands-on role involves assisting with facility tasks, coordinating vehicle use and maintenance, and facilitating vendor interactions under the guidance of senior staff.

 

Key Responsibilities:

 

Facilities Maintenance Support

  • Assist in scheduling and coordinating maintenance activities to keep the office area clean and functional.
  • Direct receptionists and coordinate office services as required.

 

Fleet Coordination

  • Manage scheduling and availability of company vehicles, ensuring readiness for employee use.
  • Coordinate regular vehicle maintenance, inspections, and repairs to maintain fleet safety and efficiency.
  • Track vehicle mileage, fuel usage, and service records to support cost-effective fleet management.

 

Vendor and Contractor Liaison

  • Act as a primary contact for facility-related vendors (e.g., cleaning, security) under senior team supervision.
  • Monitor vendor service quality to ensure contract standards are met.

 

Health and Safety Assistance

  • Collaborate with HR to maintain health and safety standards in the office.
  • Support emergency drills and health and safety awareness initiatives.

 

Inventory and Supplies Management

  • Track office supply inventory and coordinate restocking as needed.
  • Assist with equipment checks and arrange minor repairs or replacements.

 

Internal Communication and Coordination

  • Act as a point of contact for employee questions related to facilities and fleet, escalating to senior team members as needed.
  • Facilitate minor office moves and setup requirements.

 

Financial Support for Facilities and Fleet Expenses

  • Assist with tracking expenses related to facilities and fleet, processing invoices under supervision.
  • Identify basic cost-saving opportunities in daily operations.

 

Security and Access Control Assistance

  • Coordinate employee access to office areas with the IT team.
  • Support access log maintenance and keycard management.

Educational/Professional Requirements:

  • A prefered experience in facilities, fleet coordination, office management, or a related field.
  • Familiarity with Microsoft Office and basic office systems is a plus.
  • You are fluent in both Dutch and English.
